1. Purpose and scope
1.1 This Refund Policy explains when service fees, deposits, and related agreed charges may be refunded or cancelled.
1.2 It covers engagements via trade-china.eu and related channels for:
- China sourcing / project execution service fees;
- sampling, design, photography, QC, and similar add-on service fees;
- exhibition escort / hosting service fees;
- deposits or prepayments that the parties have agreed in writing may be refundable.
1.3 Important distinctions:
| Amount type | Covered by this Policy? | Notes |
|---|---|---|
| Our service fees | Yes | Sourcing, merchandising, exhibition support, etc. |
| Factory goods payments / deposits | Generally not a direct refund from us | Follow the Client–factory contract; we can help communicate |
| Freight, duties, testing, certification, tickets already paid to third parties | Usually non-refundable | Client bears incurred costs unless the third party actually refunds |
| Funds held for onward payment | Per written terms | Unused balance not yet paid onward may be returned by agreement |
1.4 If a quotation or contract conflicts with this Policy, the written project documents prevail.
2. General rules
2.1 Request refunds in writing to info@trade-china.eu, including company name, contact, project/quote reference, payment proof, reason, and amount.
2.2 We review complete requests within 10 business days and reply in writing.
2.3 Approved refunds are returned via the original method or another agreed account. Bank fees and FX losses are borne by the Client unless otherwise agreed.
2.4 Delays or loss from incorrect account details provided by the Client are the Client’s responsibility.
2.5 Standard refund rate: Except where this Policy states a full refund (service not yet started) or no refund (defined late stages), if the Client cancels for its own reasons after work has started, 30% of the relevant paid service fees may be refunded; the remaining 70% is retained for work performed and cancellation costs.
3. Sourcing / project service fees
3.1 Service not yet started
If the Client cancels after payment but before we have substantially started (no external RFQs, no factory visit/engagement arranged): 100% of the paid service fee may be refunded (excluding bank fees).
3.2 Service already started
| Stage | Refund |
|---|---|
| Briefing, factory RFQs, and/or quote shortlist delivered, but sampling / tooling / factory audit not yet started | 30% of the paid service fees for that stage |
| Sampling, tooling, or factory audit underway | Service fees non-refundable; unused third-party prepayments refunded if actually returned |
| Bulk production follow-up started | That stage’s service fees non-refundable |
3.3 Our fault
If we materially breach and fail without reasonable cause to deliver core agreed items, the Client may require re-performance or a refund of the unperformed portion of the service fee.
3.4 Client-side inactivity
If the Client gives no meaningful response for 30 calendar days, repeatedly changes scope so the work cannot proceed, or refuses agreed stage payments, we may end the service; fees for completed work are non-refundable.
4. Samples, tooling, design, photography, testing
4.1 Amounts already paid to factories or third parties follow those parties’ rules. If we have paid them and they will not refund, no refund from us.
4.2 Coordination fees paid only to us: Section 3.1 if not started; otherwise 30% under Section 2.5 if started.
4.3 Sample courier costs are generally non-refundable once shipped.
4.4 After sample approval and start of tooling/bulk, Client-driven design or strategy changes do not entitle a refund of incurred costs.
5. Quality issues and goods-related amounts
5.1 Bulk quality disputes follow the approved sample, inspection standard, QC report, and goods contract.
5.2 If agreed pre-shipment QC fails:
- we help negotiate rework, replacement, price reduction, or hold with the factory;
- factory goods money is handled between Client and factory;
- our service fee is not automatically refunded if QC was performed as agreed; failure to arrange agreed inspection is handled under the Service Agreement liability clause.
5.3 Transit damage or delay is claimed under Incoterms, insurance, and carrier rules — not as an automatic service-fee refund.
6. Exhibition service fees
6.1 Client cancellation
| Timing (before fair day 1 or agreed escort start) | Refund |
|---|---|
| ≥ 30 days and no substantial performance started | 100% (excluding bank fees) |
| Performance prep started, or 7–29 days before start | 30% of paid exhibition service fees |
| < 7 days or on-site service started | No refund |
Third-party tickets, badges, hotels, vehicles, interpreters: refunded only to the extent actually recovered; otherwise borne by the Client.
6.2 Organiser cancellation or reschedule
- Whole fair cancelled: unused Company service fees refundable; incurred travel/badge costs settled on actuals;
- Reschedule: Client may continue on the new dates or cancel unused portions for refund;
- We are not liable for Client-booked flights/hotels unless we agreed in writing to book them and accept that risk.
6.3 Force majeure
Epidemic controls, visa refusal (not due to our fault), natural disaster, etc.: parties discuss postponement in good faith. If cancelled, after deducting incurred costs, remaining service fees are refunded at 30% (or in full for any unused portion if performance never started).
7. Logistics charges
7.1 After booking, cancellation follows carrier/forwarder penalties and local charges; any remainder may be refunded.
7.2 Rate changes, destination charges, demurrage/detention follow actual invoices.
8. Non-refundable situations
- Client cancels without good cause after written acceptance of quote/sample/bulk standard;
- Loss from wrong specs, wrong address, or non-clearable product descriptions provided by the Client;
- Free browsing of fair information or unpaid general advice;
- Coupons or complimentary service credits;
- Suspected fraud or refusal to cooperate with identity / payment checks.
9. Method and currency
9.1 Prefer original payment path (e.g. bank transfer).
9.2 Refund currency matches the collection currency where practicable; FX differences on conversion are borne by the Client.
9.3 No cash refunds.
10. Complaints
If you disagree with a refund decision, email info@trade-china.eu within 14 days of our decision with supporting materials. We will review once and issue a final written reply. Dispute resolution follows the Service Agreement (Hong Kong law; HKIAC arbitration).
11. Updates
We may update this Policy on the website. Projects paid and confirmed before an update follow the Policy then in force and the written project terms.
